About the Workforce Operations Team
The Workforce Operations team plays a vital role in supporting the medical workforce across the Auckland Metro region, coordinating recruitment, rostering, onboarding, workforce planning, and day-to-day operational support for junior doctors to ensure safe, sustainable service and training delivery. Our work is fast-paced, highly collaborative, and deeply people-focused, supporting clinicians at critical points in their training and careers.

About the Role and You

The retirement of our long-serving Team Coordinator has created an opportunity for a highly capable Workforce Team Coordinator to join our RMO Workforce Operations team. This is a pivotal role where exceptional administration, proactive problems olving and confident stakeholder engagement sit at the heart of your day-to-day work.

This position supports the Portfolio Manager, Workforce Operations, and the wider team through high quality coordination, HR administration, meeting support, and operational organisation. You’ll be the person who keeps things moving, often independently, and ensures the team can deliver on its work programme.

This role suits someone who is natural resourceful and resilient. You’ll need to be comfortable working things out independently, building structure where needed, and persisting until you find the right answer. You take ownership, stay curious, and don’t wait to be told what to do.

Your ability to work confidently with senior leaders, maintain professionalism under pressure, and manage competing priorities will be essential. This is a role for someone who thrives on being the operational anchor; calm, organised, and always one step ahead.

About You

You bring a strong administrative foundation, excellent judgement, and the confidence to operate with limited direction when needed.

You’ll have:

  • Previous experience as an Executive Assistant, Team Coordinator or similar senior administrative role
  • Proven ability to work with senior managers and stakeholders in a professional, solutions focused way
  • Strong organisational skills and the ability to manage multiple priorities
  • A proactive, persistent approach to problem solving, you work things out and keep going until you get there
  • High attention to detail and strong written communication skills
  • Experience coordinating meeting and writing accurate, timely minutes
  • Confidence across the Microsoft Office suite
  • Experience supporting onboarding, maintaining personnel files, and handling confidential HR information
  • Demonstrated understanding of Te Tiriti o Waitangi and its application in a professional context

You’ll also be someone who:

  • Builds strong relationships and communicates clearly
  • Can navigate ambiguity and create order from incomplete information
  • Is resilient, adaptable and comfortable working through challenges
  • Brings a calm, steady presence to a busy operational environment

Working for Health New Zealand

This is an opportunity to play an integral role in shaping how we deliver consistent, high-quality workforce operations for RMOs across the Northern Region. You’ll be part of a supportive, forward-thinking team that values collaboration, continuous improvement, and innovation.

We welcome applicants from all backgrounds and encourage you to bring your authentic self to this mahi. Skills are developed in many ways; through employment, community, or whānau responsibilities, so if you can demonstrate the capabilities we’re seeking, we’d love to hear your story.
