About the Role

As the Maternity Quality and Safety Administrator, you’ll play an essential role in supporting the Maternity Quality and Safety Programme (MQSP) at Hawke’s Bay Hospital. This role provides high‑quality administrative, secretarial and coordination support to ensure the smooth functioning of maternity quality initiatives and the wider maternity service.

Your responsibilities will include preparing documents, managing meeting logistics, overseeing data entry and basic reporting, coordinating events and promotional activities, supporting policy and governance work, and producing clear, professional communications. You will also assist with social media content and visual materials, with experience using Canva being a bonus. Confidentiality, cultural safety and attention to detail are critical to success in this role.

About the Team/Service/ Location

You’ll be joining the Maternity Services team at Hawke’s Bay Hospital, working closely with the MQSP Coordinator, Chief Midwife, Māori Midwife Lead, midwifery educators, clinical coaches, and the wider maternity workforce. This team is committed to improving maternity outcomes through quality improvement, strong governance, and safe, culturally responsive care.

Your role also interacts with key partners such as Lead Maternity Carers, consumer representatives, Well Child providers, Māori health providers, national MQSP networks, and the Ministry of Health. It’s a collaborative, values‑driven environment strongly guided by Te Mauri o Rongo, with a clear focus on whānau‑centred care and equity.

About you

You’re a proactive, organised and detail‑focused administrator who thrives in a busy environment and enjoys supporting work that makes a difference for birthing people, pēpi and whānau. You will bring:

Administrative & Technical Strengths

  • Strong organisational and time‑management skills
  • High accuracy in data entry, reporting and document preparation
  • Proficiency in Microsoft Office Suite
  • Experience with Canva or similar is an advantage
  • Ability to manage agendas, papers, minutes and meeting actions effectively

Communication & Relationship Skills

  • Clear, professional written and verbal communication
  • Ability to engage respectfully and culturally‑safely with maternity staff, consumers and whānau
  • Strong relationship‑building skills, particularly in a multi‑professional setting
