  • Permanent, Full - Time, 80 hours per fortnight (1 FTE)
  • Play a vital role in supporting patient access to timely outpatient appointments and elective surgery, contributing directly to excellent patient experience and service flow.

About the Role

This exciting role is for and experienced Relief and or Booking Coordinator who wishes to take on the opportunity to be involved in the ongoing development and streamlining of booking processes within Elective Services

The purpose of this role is to ensure long term sustainability of the referral management system to support our booking teams and clinical staff. This role also will provide crucial onboarding of new staff and initial orientation to eh booking team. There have been a number of changes made within the referral management system and further changes/expectations being introduced nationally. These changes need to be continually monitored and audited with ongoing staff training, to ensure the data remains clean and accurate.

This role will also require an ability to communicate across directorates, working closely and collaboratively towards achieving our Ministry driven targets

At times this role does require the ability to work alongside colleagues as part of a team, as well as working individually to identify areas for improvement in both data quality and in booking processes hospital wide for the benefit of the service’s and to educate others in all areas of the hospital.

The successful applicant will also at times be required to work in a relief role capacity if/when required

About the Team/Service/ Location

Based at Hawke’s Bay Fallen Soldiers Memorial Hospital, you’ll join a supportive Administration Services team that works collaboratively to deliver high‑quality booking, scheduling and patient support functions. You’ll work closely with Booking Coordinators, reception teams, nurses, clinical secretaries, and service managers across Outpatients and Surgical Services.

About you

As a Relief Elective Booking Coordinator – Super User/Trainer, you are already familiar with booking processes , are reliable, organised and customer‑focused. You will have:

  • Excellent communication skills and the ability to engage with a wide range of people.
  • Strong data entry and computer skills (Word, Excel, Outlook).
  • A positive, solutions‑focused attitude and willingness to help.
  • Ability to build effective working relationships and work as part of a team.
  • Flexibility and adaptability to move between tasks and services as needed.
  • Understanding of Te Tiriti o Waitangi and commitment to equitable service delivery.

Desired:

  • Previous booking or scheduling experience.
  • In-depth understanding of booking reports / audit tools
  • Experience creating standard documentation, gathering information etc
  • Experience with the ECA patient management system.
  • Experience in the health sector or knowledge of elective services processes.
