About the Role

As the ICU Team Secretary, you will provide efficient, accurate and responsive secretarial and administrative support to the Intensive Care Unit. You’ll work closely with the Clinical Director, Clinical Nurse Manager, senior medical officers and the wider multidisciplinary team to ensure smooth day‑to‑day operations.

Your responsibilities will include managing correspondence and meeting administration, preparing agendas and minutes, maintaining staff and credentialing records, supporting ICU research and clinical trials, assisting with medical staff rostering and reimbursements, and managing calendars for senior ICU leaders. You’ll also coordinate travel and conferences, maintain ICU policies and databases, and act as a key communication conduit across the ICU team.

This role requires discretion, initiative and the ability to juggle competing priorities while maintaining high standards of accuracy and professionalism.

About the Team/Service/ Location

You’ll be embedded within the Intensive Care Unit at Hawke’s Bay Fallen Soldier Memorial Hospital, working alongside ICU nurses, doctors, educators, technicians, research staff and hospital support services. ICU is a highly collaborative, fast‑paced environment where teamwork, trust and clear communication are essential.

About you

You are an experienced and capable administrator with strong interpersonal skills and a calm, solutions‑focused approach. You will have

  • Proven experience as a Personal Assistant, Team Secretary or similar senior administrative role
  • Strong IT capability, including Microsoft Word, Excel, PowerPoint and Publisher
  • Excellent written and verbal communication skills
  • Confidence managing confidential and sensitive information
  • Ability to work autonomously, prioritise workloads and multitask effectively
  • Experience working in a health or complex organisational setting
  • Strong attention to detail and commitment to quality and continuous improvement
  • Understanding of tikanga Māori and the ability to engage respectfully with Māori staff, patients and whānau
  • Commitment to Te Tiriti o Waitangi and equitable outcomes

Desired:

  • Advanced IT skills
  • Knowledge of health sector systems and processes
  • Experience supporting research, training or specialist clinical environments
