About the Role
As a Relief Elective Booking Coordinator, you’ll be at the heart of ensuring patients across Hawke’s Bay receive timely, well‑coordinated access to outpatient appointments and elective surgery. This is a dynamic and varied role where no two days look the same - you will provide cover and support across both Outpatient and Surgical Elective Booking teams, ensuring continuity of service and maintaining high‑quality, accurate booking processes.
You’ll manage waiting lists, schedule appointments and procedures, help build accurate theatre lists, liaise with clinical teams, and ensure patients receive clear and timely communication. You’ll also support external outsourcing of elective procedures, ensuring all referrals and reporting tasks are completed efficiently. This role suits someone who thrives in a busy environment, enjoys problem‑solving, and takes pride in delivering exceptional service and accurate coordination that directly impacts patient care.
About the Team/Service/ Location
You will be part of the Administration Services team based at Hawke’s Bay Fallen Soldiers’ Memorial Hospital, working alongside booking coordinators, reception staff, clinicians, nurse managers, and elective services leadership. This is a collaborative, high‑performing group that values teamwork, communication, and supporting each other to deliver seamless services across Outpatients and Surgical Services.

About you
You will bring strong organisational skills, clear communication, and a calm, professional approach. You will also have:
- Experience providing customer‑focused administrative support.
- Data entry accuracy, computer literacy, and confidence using systems like Word, Excel and Outlook.
- Excellent interpersonal and telephone skills, with the ability to engage with a wide range of people.
- A positive, solutions‑focused attitude and the ability to adapt quickly.
- Cultural awareness and sensitivity, with commitment to supporting equitable outcomes.
- The ability to build strong working relationships and work collaboratively within a team.
Preferred:
- Experience in booking/scheduling roles.
- Familiarity with ECA or other patient management systems.
- Experience within the health sector or knowledge of elective services pathways.
