We’re looking for a Recruitment Administrator to provide essential support to our Recruitment Team, helping deliver a smooth and efficient recruitment experience across the organisation. This role is ideal for someone who thrives in a dynamic environment, enjoys working collaboratively, and brings a sharp eye for detail.
Key responsibilities:
- Provide agile administration support across the recruitment lifecycle –from job setup and advertising to interviews, candidate care, pre-employment checks, and offer documentation.
- Manage the recruitment inbox and workflow, ensuring timely and professional responses.
- Support data entry, all recruitment documentation, filing, and reporting to maintain accurate records.
- Contribute to the efficiency of People & Culture systems and processes and provide general admin support across the wider team when needed.
- Liaise with third-party providers and participate in recruitment strategy development and process improvement initiatives.

About the Team
You’ll be joining a supportive and collaborative recruitment team of seven experienced Recruitment Advisors, each managing their own portfolio. We work closely together, share knowledge, and maintain a positive team culture, including regular catch-ups and monthly lunches. Our team has strong collaborative relationships not only within our local team but also across the country, helping us stay connected and aligned. As part of the wider People & Culture team, we work closely with other HR functions to deliver a seamless candidate experience and build trusted relationships across the business. With the organisation constantly evolving, we stay adaptable and focused, supporting each other through change.
About Hamilton
Waikato Hospital is a major regional hospital in Hamilton and is a leading tertiary teaching hospital located in Hamilton, New Zealand, serving as the regional hub for the Midland area, which includes the Waikato, Bay of Plenty, Lakes, Tairawhiti, and Taranaki districts. With around 722 inpatient beds, 22 operating theatres, and a dedicated outpatient clinic and procedure centre, Waikato Hospital provides comprehensive hospital services, including radiology, laboratory, and pharmacy. As a major teaching hospital with affiliations to the University of Auckland, University of Waikato, and Wintec, it offers a dynamic learning environment and access to research opportunities. The hospital is equipped with advanced diagnostic and treatment facilities located on the Waiora Waikato Hospital Campus, with both road and air ambulance support.
About you
To be successful in this role, you’ll bring:
- Proven administrative experience, ideally within a recruitment or HR environment.
- Strong attention to detail, with the ability to manage high-volume tasks and meet deadlines consistently.
- Confidence working with ambiguity, evolving systems, and changing processes.
- Excellent relationship management skills, with the ability to build trust across internal and external stakeholders.
- Intermediate-level computer literacy, including experience with recruitment systems or similar platforms.
- A relevant graduate or post-graduate qualification in HR, business, or a related field.
Desirable
- Understanding of the key principles of best recruitment practice.
- Experience working in a government agency or large, complex organisation.
- Ability to identify and implement process improvements, reporting methods, and performance measures
