About the Role
We are pleased to offer an excellent opportunity for a detail focused, forward-thinking individual to join our Secretarial Services team as a Fleet Coordinator. This role is well suited to someone who enjoys problem solving, works well under pressure, and brings a proactive approach to supporting key operational functions.
As Fleet Coordinator, you will oversee all vehicle booking requests for Health New Zealand – Te Whatu Ora | Te Matau a Māui Hawke’s Bay. In addition, you will manage a variety of essential service tasks, including issuing ID cards, coordinating pest control services, arranging window cleaning, overseeing waste management schedules, supporting the supply of medical gases, and handling purchase orders and payments.
To be successful in this position, you will be adaptable, self-driven, and committed to delivering high quality service in a dynamic environment. The role requires excellent organisational skills and the ability to balance multiple responsibilities while supporting the diverse needs of our teams. You will also demonstrate cultural awareness and be comfortable working with whānau from a wide range of backgrounds across our community.
We are seeking someone with prior experience in a fast-paced administrative role. You will be entrusted with private information, so professionalism, discretion, and accuracy are essential. Strong attention to detail, sound judgment, and confidence using Microsoft Office applications are required to perform well in this role.

About you
To succeed in this role, you will ideally have:
- 2 years + experience in a secretarial/administration role
- Strong knowledge of Microsoft Office applications
- Experience in scheduling and arranging meetings, including preparing agendas, taking minutes, and following up on action items
- High level of attention to detail and accuracy in your work
- Great communication and relationship skills
- Expert typing skills
- An ability to work autonomously but still love being part of a team
- A commitment to being a good Te Tiriti partner in all your actions. This includes an understanding of the significance of and obligations under Te Tiriti o Waitangi, and the ability to apply Te Tiriti principles in a meaningful way in this role.
