About the Role
As a Team Administrator, you will play a key role in supporting the day to day operations of our Mental Health & Addiction Services. This is a varied and fast paced position where you’ll provide high quality administrative and reception support, ensuring patients, whānau, clinicians and stakeholders are supported in a professional and welcoming environment.
From managing referrals and maintaining patient records to coordinating appointments, Typing clinical letters, handling enquiries, and supporting clinical teams, your work will help ensure services run smoothly and efficiently. You’ll also contribute to accurate data management, support quality improvement initiatives, and provide reliable administrative support that directly underpins the delivery of safe, timely, and person centred care.

About the Team/Service/ Location
You’ll be part of the Mental Health & Addiction Services administration team based at Hawke’s Bay Fallen Soldiers Memorial Hospital. This is a collaborative and supportive environment where administration staff play an essential role in enabling clinical teams to deliver high‑quality care.

About you
As a Team Administrator, you bring a strong customer service focus, excellent organisational skills, and the ability to work effectively in a busy environment.
You will have:
- At least 3 years’ experience in an administrative or similar role.
- A high level of customer service and a professional, approachable manner.
- Strong Microsoft Office skills and confidence working with digital systems.
- Experience in typing clinical letters.
- Excellent organisational skills with the ability to prioritise and manage multiple tasks.
- Strong attention to detail and accuracy, particularly when handling data and documentation.
