About the Role:

We have an exciting opportunity for an experienced Team Support Administrator to join our Non-Clinical Support Service (NCS) at Middlemore Hospital.

This is a key support role providing high-quality administrative and secretarial support to the NCS Service Manager and the wider Non-Clinical Support leadership team. You will work alongside managers and team leaders across a diverse range of services, including Cleaning, Orderlies, Security, Interpreting, Mailroom and Telephony.

No two days will be the same. From coordinating meetings and preparing documentation to managing purchase orders, invoices and day-to-day administration, you will play an important role in supporting the smooth and effective operation of our services.

Key responsibilities include:

  • Providing high-quality administrative and secretarial support to the NCS management team
  • Coordinating correspondence, emails, phone calls and other communications
  • Managing purchase orders and consumable orders through FPIM, with training provided
  • Assisting with complex invoicing and invoice processing
  • Preparing reports, presentations, documents and meeting agendas and minutes
  • Coordinating meetings and providing follow-up administrative support
  • Maintaining accurate and professional documentation and records
  • Managing competing priorities and ensuring administrative tasks are completed efficiently and on time
  • Providing a high level of customer service and support to managers and team leaders across NCS

About You:

We are looking for an experienced administrator who is confident, organised and enjoys working in a busy and varied environment.

You will ideally bring:

  • At least 3 years' experience in an administration or business support role
  • Exceptional attention to detail and a high standard of accuracy
  • Excellent time management and organisational skills
  • The ability to prioritise, multitask and work effectively under pressure
  • Strong written and verbal communication skills
  • Experience preparing documents, reports and presentations and taking meeting minutes
  • Experience with invoicing or financial administration, with the ability to assist with complex invoices
  • Advanced Microsoft Office skills and confidence using a range of technology and systems
  • The ability to quickly learn new organisational systems and processes
  • A collaborative and professional approach, with the confidence to work with people at all levels
  • A flexible, positive “can-do” attitude and willingness to adapt as service requirements evolve
