About the Role

We are looking for an experienced Personal Assistant who can provide support to the two Service Managers and 2 part-time Clinical Heads who lead the Acute Services across the Mental Health & Addiction division: 

  • Service Manager and 0.5fte Clinical Head for the Acute Inpatient Unit (Tiaho Mai) which is located on site at Middlemore Hospital
  • Service Manager and 0.5fte Clinical Head for the Acute Services portfolio which includes staff based in the Emergency Department at Middlemore Hospital and at two community-based locations (Otara and Wiri) 

Primarily you will be based at Middlemore Hospital, however, flexibly and mobility across sites and services will be required. You would be part of a busy & supportive environment where your pro-active organisational skills and administrative support will ensure the smooth running of the services. You will undertake a range of tasks ranging from diary management, organising meetings, assisting with report preparation, orientation of new staff and involvement in quality improvement activities to name a few.

This is a full-time position working 40 hours a week, Monday to Friday.

About You

Reporting to the Service Manager, Acute Services portfolio, you will be required to communicate with staff and leadership at every level of the organisation and across services. You will also be required to liaise with staff and leadership from external organisations and agencies. We are looking for a high performer with initiative and the ability to remain calm under pressure. Someone who has exceptional organisational skills and a passion to work within services which are committed to promoting and improving positive mental health and wellbeing in our community.

The successful candidate will have:

  • Experience (minimum 2-3 years) providing PA or support to senior staff
  • Advanced Microsoft Office, Excel and Visio skills
  • Report writing skills
  • A working knowledge of administrative processes, developing and implementing systems
  • A positive and friendly attitude with the willingness to flex to get the job done on time
