About the Role:
We are seeking a highly skilled Executive Assistant to provide comprehensive administrative and executive support to the Clinical Director and General Manager of Acute Critical and Central Services. The position also provides administrative assistance to the wider ACaCS team and, as required, to the Middlemore Central and Emergency Response. This role is central to facilitating effective communication within the division and across the wider organisation, ensuring smooth and efficient operations.
Key responsibilities include:
- Managing complex diaries, coordinating meetings, events, and training sessions with multiple stakeholders
- Supports the divisional planning and development process
- Utilising corporate systems and tools to streamline workflows and enable timely, informed decision-making
- Handling confidential information with the utmost discretion and professionalism
- Providing proactive briefing and support to senior leadership to enhance operational effectiveness
About You
You are a proactive and highly organised professional with a proven track record in supporting senior leadership. You bring a strong attention to detail, excellent judgment, and the ability to manage complex tasks efficiently. Key attributes include:
- Minimum 3 years’ experience in EA/PA or supporting senior staff
- Advanced User of Microsoft Office (Outlook, Word, Excel, Visio and PowerPoint)
- Proven ability to organise and coordinate multifaceted events and meetings
- Strong judgment, discretion, and professionalism when managing sensitive information
- Excellent organisational and prioritisation skills
