About the Role:

We are seeking a highly skilled Executive Assistant to provide comprehensive administrative and executive support to the General Manager and Clinical Director of Mental Health and Addiction Services. The position also provides administrative assistance to the wider Mental Health and Addiction leadership team and works in close partnership with other key positions across the service. This role is central to facilitating effective communication within the division and across the wider organisation, ensuring smooth and efficient operations.

Key responsibilities include:

  • Managing complex diaries, activities and coordinating meetings with multiple stakeholders (internal and external)
  • Collating business and reporting information and collateral from across the division, organisation and region
  • Assisting with strategic planning, quality reports and operational systems
  • Handling confidential information with the utmost discretion and professionalism

About You

You have excellent organisational skills and thrive in a fast-paced and complex healthcare environment using initiative and sound judgement to manage competing priorities. You enjoy working as part of an integrated team, and understand the importance of building positive, effective relationships across clinical, operational and corporate services within Health New Zealand | Te Whatu Ora. You are confident in your ability to provide high-level support to the senior leadership team contributing to the delivery of safe, effective patient-centred care. Key attributes include:

  • Minimum 3 years’ experience in a senior administrative role providing support to senior managers
  • Advanced User of Microsoft Office (Outlook, SharePoint and Microsoft Teams)
  • Proven ability to organise and coordinate multifaceted events and meetings
  • Strong judgment, discretion, and professionalism when managing sensitive information
  • Excellent interpersonal, oral and written communication skills
