About the Role
We are seeking an experienced and highly organised Administrator to join our Women’s Health team, providing dedicated support to the Maternity Service Managers across Maternity North, Maternity South, Ward 21, and the Gynaecology Care Unit (GCU), while also assisting managers across the wider Women’s Health service.
This pivotal role contributes to the smooth and efficient operation of maternity services by delivering high-quality administrative and secretarial support. You will work closely with clinical and management teams, ensuring administrative processes are managed effectively and supporting the delivery of exceptional care for women, babies, and their whānau.
Key responsibilities include:
- Providing comprehensive secretarial and administrative support to Maternity Service Managers and Charge Managers
- Coordinating day-to-day administrative activities to support service delivery
- Maintaining accurate filing systems, databases, records, and documentation
- Managing staff leave records, performance appraisal documentation, and other workforce administration requirements
- Supporting the effective use of information systems and technology while troubleshooting administrative issues as required
- Assisting with the coordination and organisation of meetings, correspondence, and reports
- Ensuring administrative areas and ward environments are maintained to meet organisational and service needs
- Contributing to continuous improvement initiatives that enhance service efficiency and effectiveness
About You
You are a proactive and adaptable administrator who enjoys working in a busy environment and takes pride in delivering high-quality support. You have exceptional organisational skills, strong attention to detail, and the ability to build positive relationships with a wide range of people.
You will bring:
- Previous administration experience in a complex or fast-paced environment
- Excellent written and verbal communication skills
- Intermediate to advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint
- Strong organisational, time-management, and multitasking abilities
- A high level of accuracy and attention to detail
- The ability to work independently while also contributing positively to a team environment
- A professional, approachable, and customer-focused attitude
- Experience within a healthcare setting would be advantageous but is not essential
