About the Role
Waitematā is moving into an exciting and new area for our patients with the introduction of the Supported Transition and Restorative Team (START). A new interdisciplinary Service to support patients restore functional abilities in the community within Speciality Medicine and Health of Older People Division (SMHOP).
The newly created role of Administrator will work closely with the START Manager, Community Lead and Inpatient Lead, clinicians (Key Workers) and Restorative Assistants.
As START Administrator you will be a pivotal member of the team, supporting the clinical and assistant team provide patients the right support, at the right time, in the right place
A key to the team’s effective operation you will be involved in scheduling patient visits that align with patient needs, staff availability, and location logistics. Your attention to detail will help ensure that appointments run smoothly with vehicles and other supports booked and ready to support our mobile community team.
You will manage incoming referrals, maintain accurate waitlists and patient pathways and enter essential information into our systems, all while adhering to Ministry of Health guidelines. Your day will include regular contact with patients, families, and colleagues—responding to phone calls and emails with empathy, professionalism, and a solutions-focused approach.
Behind the scenes, you will keep data updated, interrogate any gaps, run reports, and support the wider team with administrative tasks that are vital to delivering high-quality care.

About you
To succeed in this role, you will have:
- Experience in planning and scheduling
- Excellent attention to detail
- A mature, empathetic approach with a strong customer focus
- Experience working in customer service
- Data entry, Microsoft Excel and Word skills
- Experience working in a healthcare setting and knowledge of Health New Zealand systems (eg iPM, TrendCare) will be very advantageous.
