About the Role
Join our Patient Safety, Quality Improvement & Risk Directorate as a Controlled Document Administrator, where you’ll play a vital role in maintaining the accuracy and integrity of Te Tai Tokerau’s document repository. You’ll ensure all controlled documents align with our Organisation’s Document Management Policies by overseeing their development, publication, distribution, and storage according to best practices.
In this role, you will also provide user education and support, helping teams navigate our document systems efficiently. Additionally, you’ll contribute to various project support activities as needed by the Directorate.

About the Team/Service/Location
The Patient Safety & Quality Improvement Directorate (PSQID) has organisational oversight and works with services to identify risks and guide quality improvements to improve patient safety. This team ensures that the quality assurance and safety of patient care is measured, reported and monitored adequately so that problems are identified early and impacts of quality improvement activities are known.

About you
The successful candidate will have advanced computer skills, particularly with Microsoft Office Suite, and have a strong working knowledge of database technology. You will need to be highly self-motivated, capable of working independently while effectively prioritising and managing workload to meet deadlines.
- NCEA level 3 qualification, or equivalent
- Certificate or degree program related to office administration
- Experience in delivering education and training programmes
- Excellent customer service skills, with the ability to communicate effectively across a wide range of people
- Previous experience in creating and presenting reports
Although not essential to apply, ideally you will bring prior experience working in a healthcare environment and hold a qualification in document control management.
