About the Role

We’re currently seeking a skilled, highly organised and motivated Team Administrator to be a part of Clinical Support – Allied Health Team. The primary purpose of the role is to provide effective, efficient, and accurate clerical and administrative support to the Service Clinical Director, allied health service clinical teams and managers, and provide activity co-ordination within designated services as described. This is a permanent, full-time role, (40 hours/week), Monday to Friday based at Auckland City Hospital. Key aspects of the role include:

  • Support Service Clinical Director and Clinical Leads with daily administrative duties e.g. diary management, meeting planning and minute taking, data collection, project support and other tasks as delegated.
  • Support Allied Health Service clinicians with administrative work as required.
  • Receive email and telephone information requests, greet visitors appropriately, follow-up with appropriate actions.
  • Ensure that the appropriate levels and standards of customer service are delivered.
  • Create required documentation, presentations and complete standard forms in a timely manner using established procedures.
  • Maintain administration processes for leave, and other HR matters as required.
  • Asset management e.g. fleet, mobile phones, PCs and laptops.
  • Administrate purchasing of clinical and non-clinical resources.

About the Team/Service/ Location

The Allied Health Service is a large service comprised of 250 FTE, providing therapy, Dietetic and Social Work services across Auckland Hospital and Greenlane Clinical Centre. Administration staff provide vital support to keep our services running efficiently and effectively to deliver patient care across inpatient and outpatient clinical areas. You would be working in a team of 3 Administration Staff, based primarily at Auckland Hospital, but some work at Greenlane Clinical Centre may be required from time to time.

About you

As the ideal person for this role, you will have the following skills and attributes:

  • Relevant Tertiary Qualification in business or health
  • Experience working in healthcare environment
  • Familiarisation of medical terminology
  • Proficient use of health information systems (e.g. Trak care, RCP, HCC, etc.)
  • An understanding of bicultural issues and commitment to the Treaty of Waitangi
  • Ability to work collaboratively with a range of professional groups in a multidisciplinary setting
  • Effective time management, flexibility, prioritisation and organisation skills
  • Drive, energy and initiative with excellent communication and interpersonal skills 
  • Sound MS Office ability, including intermediate Outlook, Word, and Excel
  • At least two years administrative experience and/or two years customer experience
